Things To Know About The HVAC Warranty Claim Process
With the different policy’s and coverage warranty companies have, it is impossible for our technicians to know all that is covered by your particular policy. At times we may have to contact your warranty company to verify whether your repair will be covered, to get approval to order parts or to receive authorization to have an appliance or equipment replaced.
How The Process Works
Once a diagnosis has been made your technician turns in the paper work later that evening or the next morning. Your home warranty company contacts us each day around 11:00 a.m. Rest assured that we do everything to expedite your repair; however, we must follow your warranty company’s procedure and there maybe delays due to parts and equipment availability from the supplier that is beyond our control. During this time you may find it beneficial to become familiar with the sections in your policy that pertains to your particular issue and the section on limitations and exclusions. Once a decision has been made, you will receive a call from your home warranty company informing you of their decision. If your claim is approved, either they will order the parts and ship them to our shop or we will order the parts and have the shipped to our shop. We then notify you of an installation date contingent upon the parts arriving on time. There may be times your claim has been approved but there are fees associated with the repair that the warranty company does not cover. If this is the case we will need approval from you before any parts or equipment can be ordered. Additional fees may be related to construction or modifications, permits, code upgrades, disposal, shipping fees and/or equipment upgrades.
Non Covered Claims
Any claim that is not covered by your warranty company can be disappointing and all parties lose in some fashion. In the event your claim is not covered, we will help your through that process as well. We offer discounted pricing on repairs and financing options to all of our warranty customers. Possible reasons for a repair not to be covered may include pre-existing conditions, lack maintenance, improper repair, power surges, tampering, abuse or neglect, missing parts or failures that are not due to normal wear and tear such as hail damage, tree roots, vandalism, and damage from animals. Just like your warranty company, we want to keep you as a satisfied customer. We understand what you are going through and we will do everything it takes to make the process go as fast. Smooth, and trouble free as possible. If you have any questions, please call us at 804-288-4747 or by email at info@westendheatingandair.com.
